Wellevate support: Reporting and Stripe account management

Accessing Stripe accounts following your move to Fullscript

During the registration process for Wellevate, practitioners were required to set up an account through Stripe. This created a sub-merchant account that was linked to the Wellevate store.

If you used Wellevate as a virtual dispensing option ahead of the migration in 2023, you would have been required to set up this account with Stripe. Stripe is a secure 3rd party payment processor that allows individuals and businesses to accept payments over the Internet.

Updating your bank account in Stripe

If you had a balance in your Wellevate account and needed it routed to a new bank account, you’ll need to log into Stripe to add the new bank account. If the balance is in Fullscript, please see Adding your bank account for more information.

Adding a new bank account in Stripe (Wellevate balances only)

To update your bank account in Stripe:

  1. Log into your Stripe account. You can do this by logging into your Wellevate account and navigating to Account Settings > Business Settings > Access My Stripe Account. Or, you can go directly to Stripe: https://dashboard.stripe.com/login.
  2. Select the Account Menu drop-down in the top right, then Account Settings.
  3. Select the Transfers icon on the Account Settings module.
  4. Select Update next to Bank Accounts and enter the new routing and account number.
  5. Select Update Bank Account.

State sales tax remittance

Effective January 1, 2019, Wellevate began collecting and remitting sales tax on behalf of the practitioner on all sales made through their online dispensary. Wellevate reported and remitted all sales tax under our sales tax license numbers as a Marketplace Facilitator.

For 2018 and earlier, follow the instructions in the attached resource at the bottom of this article for help pulling monthly sales tax reports and calculating your taxable sales for sales tax reporting.

Our Customer Success team can request sales tax detail and remittance account numbers from our Tax group, upon request. When your 2023 Wellevate migration to Fullscript was complete, Fullscript began remitting sales tax to the taxing jurisdictions.

HSA/FSA card acceptance on Fullscript

Unlike Wellevate, you don’t need to contact Stripe to enable acceptance of health-related spending payment methods in your Fullscript dispensary. If the payment method is optimized for online payments, patients will be able to enter the card in checkout and place an order. Learn more.

Accessing your past Stripe account (Wellevate only) to download reports

The Stripe Dashboard includes filter and export options if you’re looking to download a CSV file of your payments transactions.

Tie-out your Wellevate Detailed Report to Stripe Reports

Per IRS regulations, a 1099-K reflects all gross amount of sales from card payment transactions.

To download a transaction report from Stripe, log into your Stripe account and follow the directions below:

  1. On the left pane navigation menu, click on Balance then from the menu, select Transactions.
  2. From the left-hand corner of your screen, click on the Filter button.
  3. From the drop-down menu, there will be two criteria we will be filtering on to pull the report. For the first criteria, check the box for Date.
  4. Use the drop-down to select is between, then set your dates.
    For the start date: Select a date that is a couple of days prior to the actual Calendar time period you are looking to pull data for.
    For the end date: Select a date that is 30 days after the end of the Calendar time period you are looking for, or select the current date for monthly.
  5. For the second filter criteria, please check the box for Type and use the drop-down menu to select Payments.
  6. Click Done and your filtered search results will populate.
  7. From the top right-hand corner of your screen, click Export.
  8. A pop-up window will appear titled Export transactions.
  9. Under the columns section click the button that says Default.
  10. Select Custom and when the window expands to show the different custom columns, make sure Description is checked off.
  11. Click Export from the bottom right. You can either wait for the CSV to download or have it sent to your email when it’s ready
  12. Open the CSV file, and on the Created (UTC) column, filter on the dates that fall within the time period you are looking for.
  13. For all the transactions that have a Created (UTC) date within your desired time frame, add up
    the amounts in the Amount column. This is the amount that will tie back to the Wellevate Detail
    Worksheet.

    Note: Double-check the dates in the Created (UTC) column at both the top and bottom of your sheet. You may have dates prior and/or after your desired time frame that you do not want to include in your total to tie out to your Wellevate Transaction Detail File.

  14. On the Wellevate Detailed Transaction download file, you will need to exclude all the CREDIT transactions which can be found in the Transaction Type column.
  15. After all CREDIT transactions have been excluded, add up the amounts in the Total column on the Wellevate Detailed Transaction file and this will be the same amount as your Stripe report Transaction Detail and Stripe Report not tying out? Be sure to double-check the following:
    1. Confirm you are using the Created (UTC) column – not to be confused with the Available (UTC) column.
    2. Confirm you are excluding all dates before and after the desired timeframe – these can be at both the bottom and the top of the spreadsheet.
    3. Confirm you are looking at the Total column on the Wellevate Transaction Detail sheet and not the Patient Subtotal column.

Note:

Double-check the dates in the Created (UTC) column at both the top and bottom of your sheet. You may have dates prior and/or after your desired time frame that you do not want to include in your total to tie out to your Wellevate Transaction Detail File.

  1. On the Wellevate Detailed Transaction download file, you will need to exclude all the CREDIT transactions which can be found in the Transaction Type column.
  2. After all CREDIT transactions have been excluded, add up the amounts in the Total column on the Wellevate Detailed Transaction file and this will be the same amount as your Stripe report Transaction Detail and Stripe Report not tying out? Be sure to double-check the following:

Transaction Detail and Stripe Report not tying-out?

Be sure to double-check the following:

  1. Confirm you are using the Created (UTC) column – not to be confused with the Available (UTC).
  2. Confirm you are excluding all dates before and after the desired timeframe – these can be at both the bottom and the top of the spreadsheet.
  3. Confirm you are looking at the Total column on Wellevate Transaction Detail sheet and not the Patient Subtotal column.
